Our Policies.
Take a moment to review our policies in relation to your needs. You will find more information on our FAQ page.

I require 24 hours' notice for all appointment changes and cancellations. No-shows or cancellations with less than 24 hours' notice will be charged 100% of the session fee.
I understand that emergencies occur. If you have a genuine emergency, please contact me directly by phone. I handle these situations individually and with discretion.
Consistent cancellation, or no-show, may require prepayment for any future booking.
Please communicate with us so we may take into consideration any unique circumstance. All of our rules are subject to the discretion of the Owner of Myopothecary Massage.
-
Professional draping is maintained at all times during every session. Only the area being worked is undraped. Draping is non-negotiable and cannot be modified at client request. This protects both of us and is a condition of my California certification.
-
Your comfort and communication direct every session. You may ask questions, request adjustment of pressure, decline work in any area, or end the session at any time — without explanation and without penalty. I will check in about pressure and comfort, and if you prefer, I will explain what I am doing and why whenever you wish to know.
Consent is ongoing, not just a signature. Anything you consented to at intake, you may withdraw at any point in any session.
-
Your subscription provides you the number of services you have paid for in a given month. IF you are unable to attend a service, the same guidelines for late cancellation or no-show are followed. IF you have not booked a service and are unable to do so for the month in question, your service will carry over into the next month. We will carry a service for three months if there is no communication from the subscriber. After three months, we will pause your membership until we are able to communicate with you about your needs. Any remaining credits will be available per the Subscription cancellation policy.
-
Regarding packaged services, subscriptions, or services sold at a discount. Refunds may be available, however, the following guidelines affect your refund amount.
1) All items revert to their original pricing, including any services that have been redeemed. For example, a four pack of massage purchased at the discounted rate, where three services have been used would be returned based upon the value of the three used appointments calculated at the standard rate, and the remaining amount will be refunded to the purchaser in the form it was made, unless other arrangements are agreed upon by the two parties.
2) The remaining service may also be converted to a Gift Card at the remaining value, or a substituted service may be allowed. Communicate with Myopothecary to determine your preference.
-
Should you cancel your Subscription and there are remaining massage credits, you will have 2 weeks per credit to use remaining credits unless other arrangements are made with Myopothecary Massage. After the determined time-frame, 50% of the credits dollar value shall be returned to the former subscriber. Determinations of refund and any adjustments to this policy are at the sole discretion of the Myopothecary Massage owner.
-
Any special offered on the Home page is offered during the time frame listed. Free services, special rates and participation is with the understanding that those receiving are members, special exceptions.
Those receiving Demo services (free or discounted treatments) that have not been opened to the general menu, consent to providing feedback for said service/s in exchange for the service or special rate.
Please contact us with any questions. Standard policies apply for non-shows and cancellations.
-
2. Late Arrival Policy
In the event you arrive late, your session will end at the originally scheduled time out of respect for clients scheduled after you. The full session fee will apply. If you are running late, please contact me — I handle every situation individually and value you as my client.
-
3. Payment Policy
Payment is due at the time of service. I accept credit and debit cards, and electronic payment through the booking system. All these options are available through the online booking widget or the Arketa app.

I am a California-certified massage therapist (CAMTC Certificate #[NUMBER]) practicing Intrinsic Release™ — an integrative approach drawing on craniosacral therapy, myofascial release, polarity therapy, and autonomic nervous system regulation. My work is bodywork: it supports regulation, restoration, and structural ease.
I do not diagnose medical or psychological conditions, prescribe medication, treat specific diseases, or provide psychotherapy. Nothing in our sessions replaces care from your physician, physical therapist, or mental health provider. If your presentation is outside my scope, I will tell you directly and, where I can, help you find the right practitioner. If you are under care for a specific condition, I recommend you speak with your provider about how bodywork fits your care plan.

What I Collect
• Identity and contact information: name, phone, email, and emergency contact, provided when you book or complete intake.
• Health information: the health history you provide on intake forms, updates you share, and the clinical session notes I keep as part of professional recordkeeping.
• Payment information: processed by third-party payment processors. I do not store complete card numbers.
• Scheduling data: appointment history maintained in the booking platform.
• Website data: myopothecary.com uses [analytics platform] and cookies for basic site function and anonymous usage statistics.
How I Use It
Your information is used to provide safe, appropriate bodywork; to maintain the professional records my certification requires; to communicate with you about your appointments; and — only if you opt in — to send occasional practice news. I do not sell, rent, or trade client information. Ever.
Confidentiality Standard
I maintain confidentiality consistent with professional ethics, CAMTC requirements, and California law. What you share in session stays in session, with three exceptions required or permitted by law: where I am legally compelled (such as a valid court order), where disclosure is necessary to prevent serious imminent harm, and where California mandatory reporting obligations apply.
Storage, Security, and Retention
Records are stored in [booking platform / secured storage] with access limited to me. Client records are retained for a minimum of seven years following the last date of service; records of minor clients are retained at least seven years past the age of majority. [Attorney to confirm California retention periods.] When records are destroyed, they are destroyed securely.
Third Parties Who Process Data on My Behalf
Booking and records: [platform]. Payments: [processor]. Email: [provider]. Each processes your information under its own privacy policy solely to provide its service to this practice.
Your Rights
• You may request a copy of your records at any time.
• You may request correction of inaccurate information.
• You may direct which communication channels I use to reach you, and you may opt out of non-appointment communications at any time.
Website Visitors, Cookies, and Children
This policy is posted in the site footer in compliance with the California Online Privacy Protection Act. The website is not directed to children under 13 and does not knowingly collect their information. Clinical services for minors require the written consent and presence provisions described at intake. This practice does not currently meet the thresholds that trigger the California Consumer Privacy Act, but its handling of personal information is designed to be consistent with CCPA principles. [Attorney to confirm threshold analysis.]
Changes and Contact
Material changes to this policy will be posted at myopothecary.com/privacy with a new effective date. Questions: [email] · 30 N Raymond Ave, Suite 406, Pasadena, CA.
How your health information is protected
Your health intake, session notes, and treatment records are confidential. They are maintained in Arketa, a
HIPAA-compliant practice management platform, and Myopothecary LLC applies HIPAA-equivalent standards to
the handling, storage, and disclosure of your health information.
Your records are disclosed only:
• with your written authorization;
Myopothecary LLC | Client Communications & Policy Packet v1.1 | August 10, 2026 Page 4
• to you, on request;
• where compelled by valid subpoena or court order; or
• where disclosure is required by law, including mandated reporting of suspected abuse of a child, elder, or
dependent adult, or a credible threat of serious harm.
Records are retained for seven years following your last visit, or, for a client who was a minor at the time of
service, until the client's nineteenth birthday or seven years after the last visit, whichever is later. After that period
they are securely destroyed.
You may request a copy of your records at any time by contacting Jordan Barton at [email] or [phone]. Requests
are fulfilled within [15] business days.

Email and Text
I use email and text for scheduling and brief practice communication. Standard email and SMS are not encrypted — please do not send detailed health information through either. Save the substantive conversation for the treatment room, where it is both private and useful.
I check messages during business hours and respond within [one business day]. Digital channels are never monitored continuously and are not appropriate for urgent matters. If you are experiencing a medical or mental-health emergency, contact 911 or the 988 Suicide & Crisis Lifeline — not this practice's inbox.
Social Media
Myopothecary maintains professional social accounts for education and practice news. I do not provide clinical advice, discuss your care, or conduct scheduling through direct messages, and I do not follow or friend clients from personal accounts. If you engage with practice content publicly, be aware that your engagement is visible to others; I will never reference your client relationship online.
Online Booking
Booking through the online system requires accurate contact and health-screening information. You are responsible for the security of your own booking account credentials.
Reviews
Reviews are always voluntary and never solicited in exchange for anything. If you post one, professional ethics limit how I may respond publicly: I will not confirm or discuss your client relationship or any detail of your care online, even in response to your own post — that silence is protection, not indifference.

The treatment space is a private space. This policy protects it in both directions.
In the Studio
• No photography, video, or audio recording in the treatment space by anyone — me included — without prior written consent.
• Clinical photography (for documentation of postural or structural work) happens only with a separate, specific written consent, is stored as part of your clinical record, and is never used for any other purpose without a new consent.
Marketing, Testimonials, and Publication
• Any use of your image, name, or words in practice marketing requires a separate signed release, and agreeing is never a condition of receiving care.
• You may revoke a release at any time for future use. Materials already published or printed before revocation may remain in circulation. [Attorney to confirm revocation terms.]
• Minors are never photographed or quoted for marketing purposes.
Sample of the Consent & Release Form (if you choose to participate)
I, [name], voluntarily grant Myopothecary LLC permission to use [ □ my first name · □ my full name · □ my written testimonial · □ my photograph ] in [ □ website · □ social media · □ printed materials ]. I understand this is voluntary, unrelated to my care, and revocable in writing for future use. Signature · Date.
